Lead Commercial Support Office / Tenderdesk
Commercial Support Office / Tender Desk to set up and manage a centralized Group Commercial Support Office / Tender Desk that will support the organization across all commercial excellence and tender-related activities in our domain (selling strategic IT services* in private and public sector mainly in BeNe region but not only). In this role, you will lead the design, implementation, and continuous improvement of the commercial and tender process to ensure focused pipeline management, commercial reporting and high-quality submissions resulting in increased win rates. After the initial setup, you will be responsible for running the commercial support office, coordinating cross-functional inputs, and ensuring compliance, efficiency, and excellence in all tender submissions.

Key Responsibilities
Setup Phase
- Design and implement a scalable and standardized commercial and tender management processes across the organization.
- Define governance, workflows, and templates for efficient tender response coordination.
- Identify tooling needs and support the selection and implementation of digital solutions (Tenderdesk, Soonar GPCGov, Tendar, Tendero, Tendify…).
- Align the commercial excellence and tender desk strategy with commercial, legal, and operational stakeholders across our organisation and regions.
- Establish clear roles and responsibilities for all contributors involved in tender preparation.
Operational Phase
- Act as the central point of contact for all incoming RFPs, RFIs, and tenders in our core activities.
- Organize survey of official tender platforms (TED for Europe,TenderNED for NL or BOSA for Belgium) and identify valuable tenders for the GroupLead and coordinate the tender process end-to-end:qualification, response strategy, content collection, review, submission, and debrief.
- Manage deadlines, allocate resources, and ensure compliance with all tender requirements.
- Build and maintain a knowledge base of standard content, reusable materials, and best practices.
- Collaborate with Sales, Legal,Finance, Delivery and other stakeholders to ensure high-quality, tailored responses.
- Track and report on tender success rates, timelines and areas for improvement.
- Manage commercial reporting in collaboration with CCO and CFO teams
Qualifications and Skills
- Education: Bachelor’s degree inBusiness Administration, Marketing or a related field.
- Experience: 5+ years of experience in bid/tender management, proposal writing, or commercial operations.
- Languages required: Fluent in English,Dutch and French (written and spoken)
- Organisation: Strong leadership, excellent organisational and project management skills. Detail-oriented, structured and able to manage multiple deadlines.
- Communication and collaboration:strong communicator who can manage stakeholders at all levels across diverse cultures and geographies. Embracing feedback and shared ownership of results.
- Technical Aptitude: Familiarity with CRM software and a general understanding of technical concepts related to the product or service offering.
Metrics of Success
- Account Growth: Increased revenue from existing customers, measured through up-sells, cross-sells and contract renewals.
- Client Retention: Renewal rates and overall longevity of strategic accounts.
- Satisfaction Scores: Customer feedback via NPS or other satisfaction metrics.
- Business Impact: Additional value delivered to the customer, including measured improvements in customer KPIs orROI.
- Strategic Initiatives: Successful delivery of joint initiatives, partnerships and development roadmaps.
